Archive Access Policy and Request Form

To schedule an appointment at the Carondelet Consolidated Archives or to request access to materials, please read this Access Policy and User Agreement for Researchers, then fill out the form below or contact the director at (314) 678-0320 or archivist@csjcarondelet.org.

Access Policy and User Agreement for Researchers

After reading this policy, each researcher (both on-site and remote) must complete the agreement form to establish identity and to assist the archives staff in locating useful sources. Archives staff will begin assisting with requests and inquiries once the researcher has an application on file.

Remote researchers (those unable to visit in person)

For requests where the researcher is not able to visit the archives in person to conduct their research (i.e. remote research), archives staff will make every effort to perform due diligence in researching the topic on their behalf as time permits. Please allow up to two weeks for a response. Archives staff will spend no more than one hour conducting research on behalf of another person. There is a limit of 50 complimentary pages/scans for each person per fiscal year. For more involved and time-consuming requests, researchers will be notified that they should consider scheduling a future visit to thoroughly browse through any relevant collections in person.

In-person researchers

In-person researchers are expected to sign in each day and work within established procedures for the security of the collections in a designated area. The archives staff will aid the serious researcher by bringing the material to the user in the reading room. One folder may be used at a time, and personal belongings must be stored in a safe place away from the designated work area.

Please note that we are a frangrance-free facility. Please refrain from using perfume/cologne, fragranced laundry detergents/dryer sheets or any other kind of fragranced personal care products (ex. lotion, deodorant, and hair care products) on the day of your visit. A fragrance-free space increases accessibility and supports the inclusion of those with allergies or sensitivities to fragrances and/or chemicals.

Researchers will be responsible for all material brought to them in the reading area. No one will be allowed in the closed stacks. Requested items will be used in the following manner:

  • No food or beverages are allowed.
  • All materials must be handled with utmost care and without alteration by a) pen or pencil, b) erasures, c) folding, d) tracing or rubbing.
  • Do not remove materials from protective sleeves.
  • Researchers will be held responsible for any damage to materials.
  • No materials may be taken out of the research area.
  • Personal electronic devices may be used for note-taking but must be disclosed to the archives staff before using.
  • Use of cameras (including cell phones) and other equipment for reproduction is forbidden unless permission is granted by the archives staff.
  • Requests for photocopies and/or digital copies are made to the archives staff. Reproductions will be made free of charge, but there is a limit of 50 pages/scans per researcher per fiscal year. These reproductions are for private study, scholarship and research only. The researcher may not donate, sell or provide the reproductions to other parties without express consent from the archives staff.

Remote and in-person researchers

Legal responsibility for compliance with U.S. copyright laws is the sole responsibility of the individual researcher. The Carondelet Consolidated Archives does not assume responsibility for the infringement of these laws.

Permission to view materials in the archives does not constitute permission to publish them. A separate application for such permission must be made on the designated form. The researcher is responsible for obtaining permission to publish from copyright owners.

The researcher is responsible for keeping accurate citations for all items they use. The Carondelet Consolidated Archives does not prefer one citation style guide over another. Researchers may use whichever manual they prefer (e.g. APA, Chicago, MLA). Please use the following name in your citation:
Sisters of St. Joseph of Carondelet — [Province name], Carondelet Consolidated Archives.

These records are the property of the Sisters of St. Joseph of Carondelet, Carondelet Consolidated Archives. We desire to make as much information as possible available to researchers with the understanding that, due to protection and privacy acts (including copyright), some materials are subject to restrictions. For example, some correspondence may be restricted until 50 years after the death of the writer, and access to sister personnel files requires permission of their leadership team. Any primary sources that identify minors by name or represent their likeness (ex. photographs) are restricted for 100 years. This includes school, orphanage and hospital records. Additionally, we cannot share copies of primary sources from other organizations, including those that identify minors, which we do not have permission to share.
