We’re Hiring: Executive Assistant

 Sisters of St. Joseph of Carondelet

The Sisters of St. Joseph of Carondelet, an international congregation of women religious whose congregational offices are in St. Louis, is seeking an Executive Assistant to provide high-level administrative support to the Congregational Leadership Team (CLT), managing their schedule, communications and key projects. The Executive Assistant will serve as a trusted partner, ensuring the teams’ priorities are met and their day-to-day operations run smoothly. This role requires excellent organizational skills, discretion and the ability to anticipate needs while multitasking in a fast-paced environment.

Responsibilities

  • Serves as the primary support staff to the Congregational Leadership Team (CLT).
  • Manages the CLT’s calendar, including scheduling meetings, appointments and travel arrangements.
  • Serves as the primary minute taker for the multiple corporations on which the CLT serves.
  • Manages all corporation business, i.e., set up, notifications, creating agendas with the CLT liaison and ensuring clear follow-up assignments and due dates.
  • Supervises and evaluates administrative assistants in the Congregational, Los Angeles and Albany offices, fostering a collaborative and professional work environment.
  • Manages and tracks members’ paperwork for exclaustrations, dispensations and transfers into and out of the congregation.
  • Maintains strict confidentiality in all matters, documents and information relating to the congregation and the office of the Congregational Leadership Team.
  • Undertakes and completes tasks, assignments and special projects as assigned by the CLT.
  • Prepares and edits correspondence, reports, presentations and other documents.
  • Handles incoming calls, emails and messages, ensuring appropriate follow up or delegation.
  • Monitors and follows up on action items, ensuring progress on tasks assigned by the executive.

Required qualifications

  • Exceptional organizational and time-management skills, with a keen eye for detail.
  • Outstanding written and verbal communication skills.
  • Ability and willingness to create and maintain an office environment that is welcoming and hospitable to management and visitors.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Ability to work independently, exercise good judgment and adapt to changing priorities.
  • Ability to work in collaboration with other employees, immediate supervisor and personnel from different departments, nurturing collaborative relationships that promote teamwork and community building.
  • Discretion with all matters related to the assignment, including confidential information seen and heard; providing quality service that is person-centered, professional and confidential.
  • Respect for the culture of religious communities, with special attention to serving and caring with compassion, to foster a spirit of unity and reconciliation.

Desired education and experience

  • A bachelor’s degree is preferred but not required; relevant experience is considered.
  • At least five (5) years of experience as an Executive Assistant or in a similar role is required.

Environment

This job primarily operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones and photocopiers. 

Accountability

The Executive Assistant is accountable to the Congregational Leadership Team

Status

Full-time. 8-hour day shift, Monday through Friday. Some events and virtual meetings take place in early evening or weekend hours.

Compensation

  • $60,000 annually, depending on education and experience
  • Health, dental and vision insurance 
  • 15 paid holidays, three weeks of paid vacation annually 
  • Retirement contribution after one year of employment 
  • Parental and sick leave 

Location

Office is located in Sunset Hills, Missouri; Presence in the office is required.
